The best seating layout for your conference

April 16th, 2012 by ann | Comments Off | Filed in Organizing, Product Launch, Small Business

When you’re arranging conferences there are a thousand and one details that you need to consider. But even before you start to consider your choice of venue, you really need to think about what kind of seating layout you’re going to have. This will affect the cost of your event and the venue that you choose.

One of the most popular choices for seating is cabaret style. In cabaret style you have five to six delegates per table – you can’t really have more than that per table as otherwise half the delegates will be facing away from the speaker. The advantage of cabaret style is that your delegates can interact easily. The disadvantage is that it will push up the cost of the venue as you will need a larger room than if you chose theatre style seating, for example.

Banquet style is similar to cabaret but you have more delegates on each table. A maximum of 8-10 per table is advised or it will feel too cramped.

For training courses and sales conferences, classroom style takes less space than cabaret and also gives delegates a good amount of note taking space.

If you’re looking to maximise on space and minimise on costs, theatre style is a good seating layout to use. Although it limits the amount of delegate interaction, it can be very useful for presentation-heavy events or Q&A sessions. Cinema theatres make great presentation venues as you have state of the art thirty foot high screens to give any visual displays a real Wow factor!

For smaller conferences a U shape or boardroom style seating arrangement can work well. With the U-shape you don’t want to go any bigger than 25 delegates otherwise it becomes unwieldy and it can be difficult for delegates to hear what everyone else is saying. Boardroom style is perfect for small groups, to a maximum of about 15 people.

So, ideally before you start looking at venue hire, you need to think through what you are hoping to achieve at the conference and the number of people you will have there. This will narrow down your venue choices and make the rest of the planning process easier.

Take your AGM out of the box

April 3rd, 2012 by admin | Comments Off | Filed in Organizing

For too long, businesses have approached the process of planning and staging Annual General Meetings without thinking outside of the box. The venues inside the box are obvious. If your company premises are big enough, then a large room on site can be used as a ready-made destination for corporate entertainment.

Those looking outside of their office walls might consider a bar or restaurant in a town centre, or a function room at the nearest sports stadium. But, unfortunately, these settings are increasingly failing to capture the imagination of those that attend. In some respects these venues are victims of their own success. Because they are used so often they become over-familiar and stale. Their impact is minimal because your guests are likely to have attended events at venues very similar to the one you’ve asked them to attend.

So what’s the answer?

Well, one option you may wish to consider is the cinema. One of the giants of the entertainment industry is now emerging as an ideal venue for business conferences, and it is easy to see why. Ample and comfortable seating, an impressive screen, surround sound and an adjacent car park make the cinema a very appealing option indeed. But, practicalities aside, the cinema is also a venue capable of leaving a lasting impression on your invited guests.

The magic of the movies is intangible but undeniable and, increasingly, that phenomenon is being harnessed by the corporate sector. Take your clients, employees and potential investors somewhere special – a place where they’ve spent countless happy hours with family and friends – and you’ll be astounded by the results.

A hum-drum board meeting or AGM will not leave a lasting impression, but a trip to the movies will. And once you’ve created that anticipation ahead of the event, the stage is set for you to do the rest.

Tips To Avoid Cramming Prior To An Examination

March 28th, 2011 by Michael Peterson | Comments Off | Filed in Organizing

Most students become paranoid and anxious when they hear of an incoming exam. Not only do they have to open up their notes but they will have to endure countless hours of studying which most students do no really like to do. But, these problems can be easily solved with the right study habits. Here are some of them.

You will never be able to pass your exam if you do not study. Even if you have the brain of Einstein, you will still have to scan your notes and see what you have missed. Always have the time to review your notes and study before you take your exam. It is much better that you study concept by concept rather than take it all in in just one sitting.

Review your notes and picture them out in your mind. Familiarize the positions of your notes and see if you can picture them out while taking the exam. It will be your own personal note that only you can see.

A clear and fresh mind is always the best way to study. When you feel sleepy, take a nap and by the time you wake up, your mind is fresh and is ready to take another round of information.

Deal with your other problems first before you tackle your notes. If you have other problems other than your looming exam, try to deal with them first or else you will be thinking of them most of the time rather than focus on your studies.

Always prepare a study plan when you study. Stick to the schedule and make sure that you study at the exact same time each day and at the exact same place. Make sure you are comfortable studying at that time and place.

Most exams have time limits so learn to juggle all the questions through that time period. If you are stuck in a question, skip it and answer those below then you can return once you are done with the entire exam.

As some students fall for the pressure of the exams, never let your guard down. Find ways to make studying enjoyable and pleasurable for you. Although you might not view studying as a pleasurable activity, learning can be very fun if you know how to make it.

The Convenience Of Having Chafing Dishes In Self-Serving Buffets

March 28th, 2011 by Danielle N. Son | Comments Off | Filed in Organizing

Our functional utilities of items keep varying over a period of time. Take for example the chafing dish. It used to be used at homes to cook food slowly. But now the utility of the chafing dishes have changed. We use them to keep food warm and use them more like the containers with a small gas as heating source in the buffet tables.

You can identify the chafing dishes very easily in a shop and get one for your use too. Normally you can use gas burners as well as electricity on these dishes and they come with the required options as you need. You can get silver dishes, silver coated dishes as well as stainless steel dishes with various designs. But in most cases the basic design remains to be a rectangle with a top lid. However you can find some good round dishes too that look nice.

The dish can be easily placed on a rack with a gas burner and the entire thing can be placed on the buffet service table. If you are using an electric stove then you will need to keep the dish on the heater and have a power source nearby to plug into it.

These are very sturdy utensils and do not come cheap. You will have to dish out quite a bit. But then if you plan to buy a silver chafing dish it will be very expensive while the stainless steel ones may not cost so much.

More than the utility value, the silver chafing dish carries an antique value. They are designed with very nice and intricate filigree work on them and come with beautifully decorated lid with knobs. Hence the rich and the antique collectors vie for these pieces to add to their collection.

For daily and frequent use it makes sense to buy the stainless steel chafing dishes which are quite plain with slightly adorned handles. They are quite affordable and will last a long time too. You will however have to ensure that the entire set of crockery and cutlery etc matches with the dishes and doesn’t look out of place.

These chafing dishes are a must if you are in the habit of entertaining and holding frequent dinner parties at home. Then you can leave the food warm for the guests to help themselves when required.

With the chafing dishes, you can be rest assured that the food is inviting and hot. This relieves you the burden of having to keep checking and lets you free to play the host. The guests can serve themselves and finally it becomes economical for you too.

Besides investing on chafing dishes, the author additionally regularly shares knowledge regarding electric chafing dish and flatware chest.

Addicted to Email?

August 29th, 2010 by jumpinjackflash | Comments Off | Filed in Organizing, Time Management

Do you check your email when you arrive each day and then let it dictate what you achieve that day?   At the end of the day do you feel like you haven’t completed as much as you’d like?  Does your email control what takes priority?

An average email takes 2.75 minutes to process.  Obviously some will be deleted right away and others will have time taken for a reply or other action.  So if you’re receiving 42 emails each day (which is the average), that’s about 2 hours a day spent on email alone.  Go ahead and work out your average email habit per day.

Let’s bust some myths about email :

  • Emails aren’t urgent.  When things are urgent, people will call you.
  • Email breeds email. The more you email, the more email you will receive.

If you use the techniques I’m about to share with you, you’ll be able to cut your email habit by a minimum of 50% per day.  That’s an hour of time saved per day for the average user.  But, if you do nothing it’s probable your email habit will grow and you’ll have even less time to spend on the activities that actually make a profit .

Here are 5 steps to reduce time spent on email by HALF and reclaim time to work ‘on’ your business, and the profit generating activities you should be focussing on :

  1. Move emails that require action from your inbox to a new folder, so you can start with a clean slate .  Delete or archive the rest.
  2. Try not to send any emails that are longer than 4 sentences.
  3. Reduce incoming emails by telling people if you don’t require a response.
  4. Make sure you complete your most important job by 11am.  Do not check your email first thing in the morning.
  5. Here’s the big one…..only check your email 3 times per day.  Once at 11am, after you’ve completed your most important task, again at 1pm to action any replies from your 11am messages, and lastly at 4pm.

Check email only three times a day?  Are you crazy , I hear you say.  In order to manage the outcry resulting from only replying to emails 3 times a day just set up an auto-response email to advise your clients and co-workers that you have implemented a new email policy in a move to improved effectiveness, as it helps you accomplish more and serve them better.

Here’s what you can do straight away to cut your email habit by 50% and reclaim your time so you can spend it on making money .  Don’t wait until tomorrow to start.  Take action NOW; draft your auto-responder email and set it up to send to reply to any new emails you receive.  Let your colleagues know in person, so it doesn’t come as a complete shock to them.

7 Simple Steps To Stop Procrastinating

August 19th, 2010 by jumpinjackflash | Comments Off | Filed in Motivation, Organizing, Positive Attitude, Time Management

Are you a victim of laziness, a root cause of procrastination? Do you often suffer because of what you initially considered as easy has turned difficult with the loss of time, and what appeared hard, due to further delay, has become impossible now?

You may draw comfort from the fact that you are in the company of many that are affected by procrastination. But you must realize that you must get rid of your laziness by shaking yourself up into action if you want to improve your personal life. Like many others, you can indeed stop procrastinating and start meeting deadlines, by following a few simple steps that teach you effective time management.

1. Plan your daily must-do activities. Draw up a to-do list; preferably, write it down on paper; or, use a computer if you prefer.

2. Learn to prioritize, giving precedence to the more important activities. If there are urgent things to do, but not important enough to be worried about if not done, put them below the important ones. The idea is based on the established principle that 80% of rewards accrue from 20% of effort directed towards accomplishing important work.

3. Estimate the time required for each of the listed activities after analyzing their complexity. Avoid underestimation, as you may not have enough time to do well a particular of piece of work. Similarly, avoid overestimation, for that may leave some activities without enough time. A realistic budgeting of time is a must. Time allocation is a skill that is acquired with experience. So keep reviewing and revising your time schedule as you progress.

4. Organize your life. That will help you stop wasting away the time available for you to do your work.  Remember indiscipline causes confusion, even chaos, in life. It eats into your time. Avoid sloppiness. For instance, leave your personal belongings of daily use, like your glasses, your clothing, your computer etc., in the same place. When you do that, you won’t have to search all over the place for them each morning. Apply the principle of doing work first and then taking time for pleasure and relaxation. Reverse the order only at the pain of falling prey to procrastination. You can get time for rest and relaxation if you are efficient in doing your assigned work.

5. Start working bit by bit. You may see a mountain at first, but mountains can be moved, especially if you begin by moving just a small stone from it. You know you cannot move the entire mountain all at once. Don’t get overwhelmed just because there seemed to be a mountain of task before you. That will put you off.  And you will put off the task for another day, which will never come. Just begin by taking one small step and you will see your efforts at life improvement pay off.

6. Put first things first early in the day. Remember that procrastination grow inti a habit by the minute. Start your day by launching yourself head first into the most important job waiting to be done.

7. Learn to cope with anxiety, depression, stress and other similar conditions of the mind related to your problems in life. Keep yourself fit, not just physically but mentally as well. Learn and practice suitable mental relaxation techniques such as meditation.

You probably let procrastination without realizing it but by practicing the above steps, you will be able to slip out of it before you know it. Don’t live a life of decay due to procrastination. .

Using high speed internet and computer technology allows a business to readily adopt the plan into a business’ every day operations.

Crucial Tips for your Business Plan’s Implementation

– The Plan is an integral part of the entire Company – when a given employee turns on the computer at her desk in the morning, the first thing to appear is that person’s goals and responsibilities for that day, with expandable tabs for forward looking outlooks (weekly, monthly, etc.). When the CEO turns on her computer in the morning, up pops the Company’s Daily, Weekly and Monthly Goals, with highlighted areas showing Actual verses Projected performance, along with potential problem areas and opportunities.  From the top / down to the bottom / up, the Business Plan is the unifying factor within a Company clearly spelling out tasks, goals and performance on a daily, operational basis.

Business Plan Coordinating and Monitoring: An overall Coordinator for the Business Plan must be selected.  That coordinator is responsible for bringing together the various parts of the business plan into one Comprehensive Plan, along with monitoring the continuing process of following the Plan.  It is very important that the Key Strategic Objectives and Tactical Objectives are clearly defined, assigned to the right people and overseen by the CEO and the Coordinator – ensuring progress, goals and dates are being satisfied and met.  Systems are in place for individuals, teams and departments to monitor and track their areas of responsibility, reporting to the Business Plan Coordinator, who in turn, reports to the CEO and Executive Management.

The Plan monitoring process should be streamlined and be as simple as possible.  It should be integrated as a complete system into the Company’s Computer Network so that individuals, teams and departments can add information and share information while ensuring the Coordinator, CEO and the Executive level of the Company can track and manage its progress.  The Coordinator works with the Strategic Planning Department to make note of shortfalls, determine the need for re-forecasting and call meetings to ensure the Business Plan is on track and changes are made as needed.  This, in turn, is coordinated with the CEO and Executive Management, keeping them informed and updated via the Company’s Computer Network.

Both the CEO and Coordinator are responsible for discussing and communicating the Goals of the Business Plan with company’s employees.  The Coordinator is responsible for daily management of the Plan’s objectives, while the CEO keeps a global outlook and vision, providing the major direction the Company is taking.  The Coordinator position should be a Senior VP position with indicative, as well as, broad based experience in Business Planning and the Industry.

Leading a Satisfied Life with the Universal Law of Attraction

August 5th, 2010 by jumpinjackflash | Comments Off | Filed in Creativity, Happiness, Innovation, Inspirational, Leadership, Motivation, Organizing, Positive Attitude, Self Esteem, Time Management

Have you ever pondered why balances just never sway to your end, while people around you appear to lay their hands on everything they want?

The difference simply comes down to mindset.

Successful, fulfilled people use the power of intention to build the lives they want. This mindset is known as the Law of Attraction, and it can have a dramatic impact on your life.

What Is The Law Of Attraction?

The concept behind the Law of Attraction is quite uncomplicated.

What you focus your thoughts upon turns into your reality. Every thought that goes into your mind sends out energy to the universe, and what you receive reciprocally show up these thoughts.

If your thoughts dance around struggle, unhappiness, and “not having enough,” this is what the universe will bring forth in your life.

Conversely, if you focus on abundance, harmony, and fulfilment, your life will be filled with things that reflect these qualities.

How Do I Apply The Universal Law Of Attraction?

In more practical basis, if you focus on the fact that you do not have enough money to pay your debts, the energy you create will revolve around financial shortages.

As a result, you will carry on to create situations in your life that will cause you to remain in deficit. Simply focusing your thoughts to focus on abundance can in effect break this cycle.

By creating thoughts of prosperity and wealth through the Law of Attraction, your energy will draw circumstances to you that will create opportunities for abundance – many times, you will encounter more opportunities than you could imagine.

What Problems Will In Encounter Using The Laws Of Attraction?

For many people, applying the Law of Attraction can be a bit of a challenge, because humans are brought up to concentrate on the ideas they don’t want, instead of the things they do dream of.

Television, radio set, and print ads teach us that we are inherently lacking, and that we need specific products to feel fulfilled.

Sadly, the advertisers’ products never quite do the job – as a result, we continue to perceive a sense of lack.

The only way to break this cycle of dependency is to retrain our minds to generate the circumstances we want, instead of continuing to attract the things that we wish to rid of from our lives.

Apply The Law Of Attraction Because It Works

The Law of Attraction is a easy yet potent tool that you can apply to make life more gratifying, fulfilling, and auspicious.

While it may take some time to train your mind to replace negative thoughts with positive ones, the rewards are well worth the time invested.
